Tutorial on tracking and
analyzing Lost Sales
A new feature has been
added to input, track, and analyze lost sales. Lost sales can be
entered from the customer, prospect, order entry, or from the menu bar in
the accounting and telemarketing system.
Analysis is done in the reports section of Sales
Prospecting in the accounting package.
A tutorial is ready to demonstrate how to enter, list, and
analyze lost sales.
Admin Tools updated
New
features have been added to the admin tools.
Query Library:
Click Query Library from the top menu and select Create
Queries. Click the Add button to add a query. Enter a
description of the query and the query code.
You can also run queries directly from the admin
tools.
To run a query immediately, highlight the query in the grid
and click the execute query button. The screen will display the
results of the query. Click the Choose Columns button to remove
columns from the query results. The query results can be printed or
exported to Excel.
You can also give other users permission to run a query.
Any query can be run from the other programs. Click File or Help in
another package and select Query Library. The screen will display
the queries that the user has permission to run. Double click on the
query to get the query results.
A future update will have to ability to import queries directly
from the RCS support area or from an email.
Activity Viewer:
You can now view the activity of your system. When invoices
and orders are created and invoiced, when reports are run and/or updated,
any changes to data, and any deletion of data. We are working on the
other software to make sure that all change and delete activity is
captured for the Activity Viewer.
From the activity menu, you can also reprint
reports.
Tools:
Under the tools menu, you can setup a backup of your databases
and/or make a backup. To backup databases, the admin tools must be
installed and running on the server which has your data files.
For our customers who want to pay their invoice on line with a
credit card or their checking account, the ability has been added to the
tools menu. This will take you to the RCS web site. Log in to
view and/or pay your invoices. You can setup automatic recurring
payments from here as well.

Payable
Credit card screen now has the
ability to add a charge directly to the credit card. You no longer
need to enter a voucher just to add to the credit card.

Receivable
A new out of balance report has been
added to the list of reports. This will compare the amount of
the charge with the actual detail of the invoice to make sure they
are the same. It also compares the amount still due on the charge
with the transactions on the invoice to see if the same. The screen
will list any invoice which is out of balance.
The customer account screen now as a
print message. This message will appear on any order as a printable
message. It can be used for hours of operation and other things that
you want on EVERY pick ticket or invoice for the
customer.
Purchase
Order
You can now scan the packing slips
during the receive quantity routines.
During the receive invoice, you can
view the scan of the packing slip. You can also scan the invoice at
this time.
In accounts payable, you can view the
scan of the invoice as well as the packing slip (purchase order) during a
display voucher and/or voucher history.
Contract
Billing
The email request for meter reading
now groups all requests on one email for each email address. If
using the shopping cart interface, each meter has a link that your
customer can click to enter the meter reading on the web
site.
When entering meter readings from the
list, you now have the ability to place a customer on credit hold or
remove from credit hold. You may want to put a customer on hold if
you cannot get a meter reading and it has been a couple of months since
they gave you a reading.
When displaying a group, double click
on the meter to display the machine.
There is a new option to display ALL
groups. Double click to display the groups for the selected
customer.
You can now display the contract
liabilities for all machines on one screen. Select any machine to
view how much has been recognized to the financials and how much is still
left to be recognized.
Service
Dispatch
You can now display service history
detail by double clicking on the job in the service history display of a
machine. This can be edited with the proper
permissions.
The create help desk procedures has
been changed to make it easier to edit the procedure
information
A meter can be added to a machine
when completing a service call.
Two new word bookmarks have been
added.
Orderby: to print the person
