Calculating Commissions

The commission calculation routines have changed and made more flexible.  Commissions can be calculated for the salesrep of the invoice or the salesrep of the customer.
Added commission code types for quantity and clicks.  The system previously had types for sales and profit.
The ability to adjust commission amounts or even add a line to the report with notes for the sales rep.
The commission report can be updated and the salesrep can then view the report at any time under the options menu of the sales prospecting system.
A tutorial is available to show how to use the system to calculate commissions.

View General Ledger Activity

A new snapshot has been added to the financial manager.  Ever wonder how much your deposits are by day?  How about sales of reman cartridges by day?  The view general ledger activity snapshot is designed to answer these questions as well as month to date and year to date totals.  To set up the activity, display the general ledger accounts.  There is a check box called View.  Check this box to add to the list of general ledger accounts to be viewed. 
At any time, select General Ledger Activity from the snapshot menu of the Financial Manager.  Double click any of the general ledger numbers.  The screen will display the amount for that general ledger account, the month to date, and year to date.  For assets and expenses, the system will only show debits.  For liabilities, equity, and sales, the system will only show the credits.  So if you have a return on its own invoice register, it will not be added to the total.  The information is for the current fiscal year determined by the station date.

Accounts Receivable

When the invoice register is updated (or the invoice is printed now) and a machine on the invoice is in the demo customer of service, the technician will be maintained when the machine is moved to the customer purchasing the machine.  Previously, the tech was set to blank when the machine was moved.
The salesrep display now has only one commission code for the rep (default) and the categories.  Previously there was a commission code for sales and profit.  The type of commission code is now used in the calculations of the commissions.  Commissions can be calculated by using a percentage of sales, percentage of commission profit, clicks, and/or quantity of the item sold.
When adding categories to the salesrep for commission purposes, you can now add the categories of base (contract billing base charges), excess (contract billing excess charges), and Labor (labor on service calls).
When entering payments, the screen will now show which invoices are selected for payment that have not been updated on the outstanding invoice list.  These invoices will be checked.
Commission codes now have two new options for commission types.  Clicks to pay a commission amount per click.  For example you pay the salesrep .002 per click.  Quantity to pay a commission amount for each item sold. For example, you pay the rep $20.00 for each new contract, or pay $2.00 for each cartridge sold.

Financial Manager

The sales analysis report now has an option to include or exclude finance charges and late fees.  The default is to not include these amounts in the analysis. 
Commission report has been reworked.  Amounts can be adjusted, bonus added, and notes entered.  Lines can be added to the commission report.  When updated, the salesrep can view their commission report at any time.

Accounts Payable

Credit card transactions are posted immediately to the expense accounts if you are on cash basis accounting.  Previously, they were not posted until the credit card was paid.

Payroll

The check register now combines all the department totals into one grand total at the end of the report before the general ledger posting entries.
The employee screen now has a drop down to link the employee to the salesrep.  This is used in the commission report.  When the commission report is updated, you have a choice to update the commission amount to the payroll program wages for the salesrep.

Sales Prospecting

The street address of the prospect is now copied to the street address of the customer when creating a new customer from the prospect display.
The salesrep can now view past commission reports from the Other menu. 
The salesrep can now view a price list showing the commission cost and the list price of the items sorted by category.  To include a category on this list, you must set the commission cost for at least one item in the category.  For other items in the category, if the commission cost is not set, the commission cost will be calculated by adding a percentage to the cost of the item. The percentage is set in the Accounts Receivable, Other, Options screen using the Settings Tab.
The inventory usage report now has an option to include invoices when paid in the selected date range.  Previously, the report only included if invoiced in the date range.  Now you have a choice of invoice date or paid date.

Leasing

New report added for lease status.  This report is displayed in two tabs.  The report show the status of all leases, how much invoiced, collected, and left to invoice.  The total tab shows how much is being invoiced and collected for each month as well as the count of the leases invoiced.
